QR Ordering System Guide for SalesPlay POS

What is QR Ordering System

A QR Ordering System is a digital solution integrated into a Point of Sale (POS) system that allows customers to browse and order items from a menu by scanning QR codes with their smartphones. Orders placed via QR codes integrate seamlessly into the POS system, providing real-time updates on order status and facilitating clear communication between customers and staff.

Example

In restaurants, owners can place QR codes on tables or near entrances. Customers scan the QR codes with their smartphones, view the menu, and place orders directly. These orders are sent to the restaurant’s POS app, allowing staff to prepare items efficiently.


How to Add QR Ordering

  1. Login to POS Back Office Web Portal.
  2. Select Integrations from the main menu.
  3. Go to QR Ordering / Web Store.
  4. Tick ON QR Ordering / Web Store.
  5. Click Save.

(Once enabled, QR Ordering /Web Store appears as a sub-menu in the Integration Apps section.)

  1. Select QR Ordering / Web Store.
  2. Click Generate QR / Web Store.
  3. Select QR from the dropdown and enter a name.
  4. Select a Shop and add a Terminal.
  5. Add an Order Type if available.
  6. Select a Table if available.
  7. Select a QR size and click OK.
  8. Tick Collect customer information if needed.
  9. Click Save.

After saving, the QR code will be generated. You can download it using the three-dot menu or copy the QR URL to print or share.


How to Process QR Orders in the POS App

Step 1: Enable Open Orders

Before receiving QR orders, enable the Open Orders feature.

  1. Log in to the SalesPlay Back Office Web Portal.
  2. Go to Settings.
  3. Select Features.
  4. Enable Open Orders.
  5. Click Save.

Once enabled, Open Orders will appear in the New Sale screen of the POS App.


Step 2: Manage QR Orders

  1. Open the SalesPlay POS App.
  2. Tap New Sale.
  3. Open Open Orders.
  4. Select New Orders.
  5. Review the incoming order.
  6. Tap Accept or Reject.

Accepted Orders

After accepting the order, staff can:

  • Prepare the order
  • Send Kitchen Order Tickets (KOT/BOT)
  • Complete the payment
  • Finish the sale

Rejected Orders

If an order is rejected, staff can enter a comment explaining the reason. The customer will see this message.

Order Notification Sound

SalesPlay POS includes a notification system for new external orders received through QR Ordering and Web Store.

When a new order arrives, the POS App continuously plays a notification sound until someone checks the new order. This helps ensure that no customer order is missed.

How to Enable Order Notifications

  1. Open the POS App.
  2. Go to Settings.
  3. Select Software Customization.
  4. Tap Set Order Notification Sound.
  5. Choose a sound from your device.
  6. Save the settings.

Whenever a new QR or Web Store order is received, the selected sound will continue playing until the cashier opens Open Orders and reviews the New Orders.

What’s New in QR Ordering & Web Store

SalesPlay has introduced several new improvements to make QR Ordering and Web Store more powerful and user-friendly.

1. Product Variant Support

QR Ordering and Web Store now support Product Variants.

Customers can choose different product options before placing an order.

Example:

A burger can now be ordered as:

  • Small
  • Medium
  • Large

Customers simply select their preferred size from the QR menu or Web Store.


2. Multi-Language Support

QR Ordering and Web Store now support 16 languages.

Customers can switch to their preferred language and browse products more comfortably, making the ordering experience easier for international customers and multilingual businesses.


3. Edit QR Orders in the POS App

Staff can now edit QR orders after they are received.

Cashiers can:

  • Add or remove products
  • Change product quantities
  • Update customer requests
  • Correct ordering mistakes

This provides greater flexibility when customers request changes after placing an order.
